About this service
Proofreading is the final check on a document that is otherwise finished: spelling, grammar, punctuation, consistency of names and figures, and layout errors in the designed file. It is not rewriting. If the text needs restructuring, we tell you before we start and point you to copy editing instead.
The errors that survive three readings by the author
Authors do not miss typos through carelessness. They miss them because they read what they meant to write, and the brain fills the gap. That is why a document checked three times internally still goes to print with a client's name spelt two ways and a total that does not match its table.
A proofreader reads differently: slowly, line by line, without knowing what the sentence is supposed to say. The second pass is not a repeat of the first. It runs across the document looking only for consistency, because the worst errors are not misspellings but a figure that changes between page 4 and page 19.
- Numbers and totals that disagree between text, tables and summaries
- Names, product terms and job titles spelt or capitalised two ways
- Mixed UK and US spelling in the same document
- Cross-references pointing to a section that has moved
- Captions, footnotes and headers left over from a previous version
Proofreading after layout is a separate job
Text that was perfect in Word can break the moment a designer flows it into a layout. Words split badly across lines, a paragraph loses its last sentence in an overflowing text box, or a heading ends up alone at the bottom of a page. None of these exist in the manuscript, so a manuscript proofread cannot catch them.
We mark designed files with standard PDF annotations, each one pinned to the exact spot, so the designer can work through them without interpreting anyone's notes. For long reports we recommend both: a proofread of the final text, then a lighter check of the designed proof against it. The second check is quick, and it is the one that catches what actually prints.
What you get
Everything below is in the price. Nothing here is an upgrade.
- Tracked-changes file in Word or Google Docs, or an annotated PDF
- A query list of points only the author can decide
- A style sheet of the spellings and conventions applied
- A clean copy with all accepted changes applied
What changes
- Spelling and punctuation corrected to one standard, UK or US, chosen up front
- Names, figures, dates and terms spelt the same way on every page
- Every change tracked, so you accept or reject it line by line
- Ambiguities raised as questions rather than silently 'fixed'
How it runs
Check the job
A sample page read first, to confirm it needs proofreading and not editing.
First pass
Line by line for spelling, grammar and punctuation.
Second pass
Across the document for consistency: names, numbers, headings, cross-references.
Return
Tracked changes, the query list and the style sheet, together.

Questions
What is the difference between proofreading and editing?
Editing changes how the text says things. Proofreading checks that what it says is spelt, punctuated and numbered correctly. If a draft needs editing, we say so before charging for the wrong job.
Do you check facts?
We flag figures that contradict each other and names spelt two ways. Verifying a figure against its original source is research and is quoted separately.
Can you proofread the PDF after design?
Yes, and you should. Layout introduces its own errors: bad hyphenation, a stranded last line, a caption under the wrong picture. We mark them the way a designer expects.
